Privacy Policy

What we collect, why we collect it, who can see it, and how to have it removed.

Louisiana Redbirds is a volunteer-run youth baseball organization. We collect information so we can run tryouts, field teams, and reach a parent in an emergency — nothing else. We do not sell it, share it for advertising, or use it to track anyone across the internet.

What we collect

When you sign a player up for tryouts, we collect the player’s name, date of birth, preferred and secondary positions, whether they bat and throw left or right, their current team if any, and any medical notes you choose to give us such as allergies or conditions. We also collect the parent or guardian’s name, relationship to the player, email address and phone number, and the name, phone number and relationship of a separate emergency contact. We record that the liability waiver was accepted, when, and which version of it.

When you enter a team in a tournament, we collect the team name, club or organization, age division, city and state, roster size, and the head coach’s name, email address and phone number, plus any notes you add.

When you order apparel, we collect your name, email address, optionally a phone number, any note you add, and what you ordered. Payment happens on Venmo, so no card or bank details ever reach this site.

Why we collect it

To organize tryouts and place players on teams, to contact you about schedules and results, to reach an emergency contact if a player is injured, to make sure coaches know about a medical condition before a player takes the field, and to keep a record that a guardian accepted the waiver.

Who can see it

Only board members and coaches who have been given a staff account on this site. Access is enforced by the database itself, not just by the website, so a person who is not on the staff list cannot read sign-up records even if they hold the site’s public keys.

Apparel orders are the one exception, and only in one direction. The local shop that prints the shirts has an account limited to apparel orders, so they can see what to make and mark it produced or paid. That account cannot see tryout sign-ups, tournament entries, or anything about a player.

Sign-up information is never published on the website and is not visible to other families.

Rosters are published as images

Team rosters appear on this site as the team’s own graphic, showing player first and last names and jersey numbers. We publish them as images rather than as text specifically so that a player’s name is not easily found by an ordinary web search.

This is a reduction in exposure, not a guarantee of privacy. If you would prefer your player not appear on a published roster graphic, email us and we will remove them.

Children's privacy

Information about players is provided by a parent or legal guardian, not collected from children. The sign-up forms on this site are intended for adults to complete.

If you believe a child has submitted information without a guardian’s involvement, contact us and we will delete it.

Where it is stored, and who processes it

Sign-up records are stored in a Supabase database hosted on Amazon Web Services in the United States. Confirmation emails are sent through Resend, which delivers via Amazon SES. The website is hosted by Vercel. These providers process data on our behalf and do not use it for their own purposes.

Cookies and tracking

This site uses no analytics, no advertising trackers, and no third-party tracking scripts of any kind. Browsing the public pages sets no cookies.

The only cookies this site sets are sign-in cookies for staff accounts in the admin area, which are necessary to keep a staff member logged in.

How long we keep it

Tryout and tournament records are kept for the season they relate to and a reasonable period afterwards, so we can answer questions about placement and contact returning families. We delete records we no longer need, and we delete anyone’s record sooner on request.

Seeing, correcting, or deleting your information

Email redbirdslouisiana@gmail.com and ask. You can request a copy of what we hold about your family, ask us to correct it, or ask us to delete it. We will not ask you for a reason.

Deleting a tryout record may mean we can no longer place your player for that season, but that is your decision to make.

Changes to this policy

If we change what we collect or how we use it, we will update this page and change the date at the top.
